Breakout Room

A smaller meeting room used for group work during conferences.

What is a breakout room at a conference?

A breakout room is a smaller space adjacent to the main plenary hall where attendees split into smaller groups for workshops, discussions, or training sessions. They are essential for interactive formats and hybrid learning.

How many breakout rooms do you need for a conference?

As a rule of thumb, plan one breakout room per 25–30 delegates if you run parallel sessions. For a 300-person conference with six concurrent workshops, you need at least six rooms of appropriate size.

What AV should a breakout room have?

Minimum: a wall-mounted screen or TV, HDMI connectivity, a confidence monitor for the facilitator, and omnidirectional conference speakers for hybrid calls. For interactive sessions add a whiteboard or flip chart.

How does a breakout room affect DDR pricing?

Most venues include one main room in the DDR and charge extra for additional breakout rooms. A typical surcharge is €15–€40 per person per day per extra room. Always confirm the breakout room policy when comparing DDR quotes.
