Four European capitals, one comparison. 2026 MICE pricing benchmarked against DACH (Munich, Frankfurt, Zurich) and Iberia (Madrid, Barcelona, Lisbon). Convention-bureau guidance, Eurostat PPP, ECB FX rates. Built for planners and procurement leads testing the CEE value tier for the first time.
Most "CEE is cheaper" pieces stop at the headline. This playbook gives you the four-line cost breakdown (rooms, F&B, AV, all-in), the FX-shock math, the bureau contacts, and the decision matrix — so the value-tier conversation lands in three minutes, not three meetings.
All figures are sourced. Every number cites a publicly verifiable origin (convention bureaus, Eurostat, ECB, ICCA, public hospitality industry reports). No vendor pricing, no anonymous benchmarks.
The Value-Tier Calculator on the research report lets you enter your own DACH or Iberia budget and slide the FX rate.
Open the calculator →All rates expressed in EUR per unit, VAT-inclusive at the local statutory rate (CEE: 5–27% by country and category; Western EU: 19–25%). 4-star group rate basis. F&B per delegate, AV per day for standard plenary configuration.
| City | Room / night | Lunch / delegate | Gala / delegate | Coffee / delegate | Plenary AV / day | Δ vs Munich |
|---|---|---|---|---|---|---|
| Munich (DACH) | €238 | €68 | €132 | €18 | €3,800 | — |
| Madrid (Iberia) | €179 | €55 | €105 | €14 | €3,500 | −25% |
| Prague 🇨🇿 | €169 | €52 | €98 | €13 | €3,350 | −29% |
| Warsaw 🇵🇱 | €150 | €49 | €93 | €12 | €3,270 | −37% |
| Budapest 🇭🇺 | €143 | €46 | €88 | €11 | €3,160 | −40% |
| Bucharest 🇷🇴 | €119 | €43 | €82 | €10 | €3,120 | −50% |
Reading the table. Headline savings come from rooms. F&B and AV gaps are smaller because (1) F&B inputs increasingly track EU-wide commodity pricing, (2) AV is supplied by pan-European operators in EUR. Plan the budget line by line.
| City | ICCA 2024 rank | ICCA 2018 → 2024 Δ | Largest venue capacity | 4&5★ rooms | Direct flights (Western EU) |

Worked end-to-end for each of the four CEE capitals, with two FX scenarios: stable (current spot ECB May 2026) and stressed (−7% local-currency move against EUR, broadly the worst observed in 2024).
Same meeting profile at Munich-equivalent quality. Saving locked in if Warsaw property invoices in EUR (most 4&5★ do); ~85% of the saving holds in PLN-invoiced under a −7% PLN shock.
Prague carries the strongest infrastructure for the price. Saving smallest of the four CEE capitals but still meaningful; most properties invoice EUR.
Wider HUF band (±11% historical) means a 7–10% EUR contingency line is prudent on any HUF-invoiced portion. Cluster density (Buda Castle, Hungexpo) is the best in the region.
Largest headline saving in the region but watch 5-star inventory thinness. RON is managed-float (±3% historical) — narrowest FX risk of the four.
All calcs use the city indices documented in the research report (composite of rooms·0.50 + F&B·0.30 + AV·0.20). The methodology is shown in the report's "Value-Tier Calculator" section.

National scope, Bucharest-dominant cluster. English support throughout.
Print this page. Put it next to the brief. If three of the four "works for" criteria fire, run a CEE shortlist as Wave 1. If two or more of the "works less well" criteria fire, run CEE as Wave 2 alongside DACH or Iberia primaries.
Three rules-of-thumb from planners running CEE RFPs in 2025–2026: (1) lead with the convention bureau, not direct hotels — it's faster and free; (2) negotiate EUR billing at sign — most 4&5★ CEE properties offer it; (3) add a 7–10% FX contingency line for any HUF-invoiced portion (HUF has the widest band of the four currencies).
The four capitals are fully indexed. One brief in, priced proposals back. EUR-normalised, FX-flagged, benchmarked against DACH and Iberia in the same screen.
