The most common offsite mistake is choosing a venue before defining the purpose. A strategy retreat needs AV, whiteboards, and breakout rooms. A team-building retreat needs outdoor space, a casual dining setup, and no-AV sessions. A leadership development retreat needs small group rooms and facilitation support. The venue must serve the purpose — not the other way around.
City hotel conference floor: best for hybrid teams needing easy access. Country house hotel: best for complete disconnection, team building, nature activities. Resort: best for reward/incentive-style retreats with leisure activities. Rented villa or chateau: best for senior leadership groups (12–30 pax) needing informal atmosphere. University campus: budget-friendly, great for innovation workshops.
Split the day into 60% structured (workshops, sessions, plenary) and 40% unstructured (meals, activities, informal networking). Start with a high-energy opener (team challenge or interactive session). End each day with a clear 'output' — decisions made, actions agreed, principles defined. Build in 30-minute buffer between sessions — agendas always run late.
10–20 pax (country house, 2 nights, full board + activities): €350–€550/pp. 20–50 pax (4★ hotel, 2 nights, DDR + activities): €280–€450/pp. 50–150 pax (conference hotel, 2 nights, DDR + gala dinner): €250–€400/pp. 150–200 pax (large hotel or resort, 2 nights): €220–€350/pp.
