32-Concession Matrix — Hotel RFP Negotiation (European MICE)

Methodology. Approval bands are aggregated and anonymized indicative bands from European MICE RFP outcomes — not precise probabilities from a published probability sample. Treat ranges as planning guidance, not statistical inference. Bands shift by season, demand, and hotel type.

The 6 asks that signal inexperience — never put on your list

  1. Free rooms for the planner at a different chain property during site visits. Cross-property comp is operationally awkward. Ask each property separately.
  2. Free spa access for all attendees. Spa is usually third-party-operated or a strict P&L center. Ask for a discount code instead.
  3. Complimentary minibar replenishment daily. Minibar consumption is itemized billing; "complimentary" creates an accounting mess. Replace with a one-time welcome amenity.
  4. All room upgrades to top-tier suite category. Top suites are inventory-managed. Ask for one-category upgrades, not all-to-top.
  5. Refund of difference if rate drops on OTAs. Conflates group rate with retail BAR. Tells the sales team you don't understand rate categories.
  6. Free contract review by your legal team. Hotels do not provide outside legal review of buyer contracts. Ask for a redline turnaround commitment instead.

Decision rule: if Tier-1 acceptance < 8/12 at any hotel, the hotel is signaling low motivation. Either escalate or remove from shortlist.
